Our Policies

Applications
1. Places are allocated on a first-come first- served basis.
2. You will receive a letter within two weeks to acknowledge receipt of your application. If you do not hear from our office within this time, please contact us directly.
3. You are asked to inform the office in writing should you wish to make any changes after the application is processed.
4. Please check time, date and venue carefully and make note of any statutory holidays as outlined on the schedule and confirmation letter. No further reminder will be made.
5. If ESF Educational Services Ltd. considers a student to be unsuitably placed, we reserve the right to ask for the child to be withdrawn and to offer a full refund.
6. Do not send post-dated cheques.
7. 3-Term Discount Conditions
To receive the discount, you must sign up for 3 programmes within the academic year 2010-2011. 10% discount can only be applied when paying by credit card and is not applicable to the course book fee. You can indicate that you would like the discount when completing our application form. Payment will be processed upon receipt of your application for each programme. Full discount for the three programmes will be deducted in the third programme.
Students’ applications are processed on a first come, first served basis. Due to the high level of applications and to avoid disappointment, we highly recommend that you apply early to ensure a space in the class of your choice.
 
Withdrawal and absences from class
8. Students who successfully enrol in a course and withdraw from it before the course commences will receive a credit voucher for the course fee less a $200 processing fee. The request for cancellation must be made in writing.
9. No refund or credit will be provided for students withdrawing after a course commences.
10. No refund will be made for students missing a lesson for any reason except an extended period of sickness. To receive a credit for such as absence, you must submit a written request supported by a medical certificate showing a minimum sick period of five days. Requests and documentation must be submitted within 7 days of the absence.
 
Cancellations
11. In the event of school closure due to unforeseen circumstances, classes will be cancelled and no make-up, refund or credit will be issued.
 
Regular Programme Weather Policy
12. During times of severe weather (i.e. rainstorms and typhoons), courses may be cancelled.

Please note the following:

Typhoon 1, Typhoon 3 & Amber rain
All classes continue as normal

Red Rain, Black Rain, Typhoon 8 & Typhoon 10

9:00am and 9:30am classes
If any of the signals above are hoisted at 7:00am, classes will be cancelled

11:30am classes
If any of the signals above are hoisted at 7:00am, classes will be cancelled

1:30pm and 2pm classes
If any of the signals above are hoisted at 11:00am, classes will be cancelled

4pm classes
If any of the signals above are hoisted at 12:00nn, classes will be cancelled

During Class
If any of the signals above are hoisted during a class, please endeavor to collect your child but be assured that your child will be supervised until the end of the lesson.

We have these timings in place to ensure the safety of our students and teachers and also to ensure our staff can safely travel to and from our schools. We advise you to check our website as we will post a notice confirming any cancellations once a decision has been made.

Venues
13. In case of unanticipated site conflicts, a suitable replacement venue will be offered. No refunds will be made in such instances.
14. ESF Educational Services reserves the right to cancel courses due to insufficient enrolment. All efforts will be made to place students in a similar course. If none is available, a refund will be issued.
15. Parking is not available at all ESF schools and therefore public transportation is recommended. At Sha Tin College & Junior School, limited parking may be available after 4:00pm on weekdays.
 
Parent and guardian responsibilities
16. All students must be under adult supervision while waiting for classes to begin.
17. Parents and guardians are asked to wait outside the venue while the class is in progress. Teachers have the right to ask any person to leave the premises.
18. Lessons will finish on time. Please ensure you pick up your child promptly at the end of the lesson.
 
Safety
19. ESF Educational Services is not responsible for any injury to participants, or damages or loss of property as a result of participation in our courses.
20. In case of a medical emergency, your child will be transferred to the nearest government hospital using the Hong Kong Government Emergency Medical Unit.
 
Information Policy
21. Information provided will be used for the purposes of
a) processing your application for admission; and
b) administration after admission.
22. The data collected by ESF Educational Services will be kept confidential. You have the right to obtain access to and request correction of any information concerning you and your child held by ESF Educational Services. Requests for such access should be made in writing.
23. ESF Educational Services reserves the right to amend their policies from time to time.
